There should be a way for a Host to rate people who make appointments and do not show. Maybe after 3-5 no shows, the system can flag those users.
I agree ( if you are talking about scouting appointments. Also, there should be a rating system for them ( show up on time or too early), conversion to booking percentage.
This is the Ops Director for Graham’s listings, sorry to hear you’ve got what sounds like an epidemic of flaky leads. I love the idea of a rating system, Suggestions:
-Make them work for it:
- I do a full vetting call for anyone looking to do a site visit, qualifying them for budget/use etc, whether it’s for company meeting, social event or production, but of course the latter of the two will be the higher risk for flakiness, with production scouts being the biggest perps.
-I also tell them it’s a complimentary visit, I schedule them in 15-minute increments (I don’t tell them I block out 30-minutes for excuses like traffic/etc) and it’s me their meeting with.
-I make them provide an email address to send them a calendar invite with our address to double-confirm
-I text them 60/90 minutes prior to the visit to triple-confirm, with the message I am driving to the venue to meet with them
Building rapport like this and holding leads to their commitments, I’ve never had a conversation about a second reschedule/third appointment.
- Two strikes rule/Drop the hammer: If they miss the first, it happens, but if they reschedule and waste your time again, insist on a deposit that is refundable only if they make their third appointment. Set whatever price you want, but an easy rule if the visit is 30 minutes, and 30 minutes renting your space costs $50, make it $50.
If they’re genuine, they’ll pay it. If not, HIT THE ROAD.
Your time is more valuable than theirs.

I’d suggest asking for a deposit after ONE no show appointment if they want to reschedule. No way would I give a third appointment to someone who no-shows twice.
This is what I do to assure there will not be a no-show. I do not give them the exact address until the day of the appointment. I will give them a proximity so that they can plan the trip accordingly, but the address is not revealed until the day of the showing. (Knock on wood) I have not been stood up since I instituted that policy.
