My venue “The Shackteau” is located in southern Maine, and it is primarily booked as a wedding venue. Every wedding is a custom offer (weddings of course being an incredibly personalized event) and every client relationship starts with a “free” tour. Because very few people book a wedding venue without seeing it in person first. My problem is that I can’t seem to find a way to send an invitation for this that both blocks my calendar and retains all the details I want, but only charge $0. I have been using the custom offer feature for the tours, but that form requires a value greater than zero in the “rental fee” field. So I end up giving a $.01 tour. (Or a $.02 tour if I want to be cute.) But really, this is not cool b/c it requires the prospective guest to enter their credit card info to pay a penny? It’s not just a ridiculous waste of resources, it also makes PeerSpace look a bit scammy IMHO. Like they are trying to gather CC information prematurely. This morning I opened a ticket requesting they allow $0 on that form - but I wondered if anyone else has this scenario and has found a workaround?
Note that I don’t just want to “block” the time. I want to retain a proper record of all these tour offers, including names, times, and any other notes about the wedding on the PeerSpace system so I can peruse them later. Thanks!
When I give a tour, I simply ask for their phone number or give them mine so I can set it up. Then I take the actual booking via Peerspace. As to your keeping a record, you can do that yourself either in Word or Excel or any other place you take notes. If you wish to block the calendar, I believe you can do that manually
I don’t give that many tours, but occasionally I’ll allow one for a location scout, etc. I have a Google calendar for my studios which syncs with Peerspace- for a tour I just make an event in that calendar, set it to “busy” and it’ll block off the time through Peerspace as it is syncing to my calendar there as well. You can edit the event in the Google calendar to include info/notes about the potential booking too. It isn’t a perfect solution for being self-contained in Peerspace, but you could add these notes to the messages section of the inquiry as well if you’re trying to keep it all there.
Peerspace is a booking platform, not so much a platform to keep track of potential clients leads in the way you would like to use it. I think the best option is to do it offline like everyone is suggesting and just block time time on the calendar here. But it isn’t a bad thought or a bad feature to request from Peerspace, but then you are kind of asking for a client management feature to be added and they’ll probably ask for 10% more of your booking lol.
